Steps to Planning a Great Graduation Party (part 2)

In our last article, we talked about budget, guest list, date and theme for your graduation party.  Here’s a look at what to do next in order to make your graduation party successful.

Once your theme is in place, decide how you are going to do the food.  If you are planning on using a caterer, make sure that you talk with them well in advance to discuss and approve menu options and secure their services on your party date.  Go over the contract carefully to make sure that you understand all services and charges so that there are no hidden surprises at the end of your special night.

If you are going to use the services of a florist or any other professional, you also want to make sure to book them well in advance to ensure their availability and have plenty of time to discuss your options and plan for your party needs.

If you are preparing the food and/or any decorations yourself, planning will make your party go much smoother.  Food is a great way to let your theme shine, so let your creative juices flow as you plan the menu. Once your menu is set, create organized shopping lists so you know you will have every thing you need well in advance. Buy supplies ahead of time to give yourself time to pick up any missing or unavailable food items.

As you plan, consider how you will serve the food, taking into consideration the number of bowls, platters, serving dishes, and utensils that you will need.  You can always rent these items if you do not have enough on hand.

An important factor in successful graduation party planning is making sure that you have enough tables and chairs to accommodate all of your guests.  Choose tablecloths and linens that follow your party theme. Round tables usually work best for eating, while rectangular tables work for food tables, drink tables, present tables, and display tables (including pictures and memorabilia of your graduate). Plates, napkins, cups and utensils should all be adequate to cover the number on your guest list, as well as some spares to cover any unexpected guests or problems.

If you are hosting your party outside and your area is prone to summer heat, consider setting up a tent to help shade your guests and make the party atmosphere more comfortable.
